1. Who we are
Leadership Treehouse is based in Aotearoa New Zealand. This policy explains how we handle personal information when you use our website, contact us, take the Leadership Quest, subscribe to our emails, book a call or join our events and programmes. We handle personal information in accordance with the New Zealand Privacy Act 2020.
For privacy questions or requests, contact our Privacy Officer at play@leadershiptreehouse.com. You can use the same address to ask about any part of this policy.
2. What we collect
What we collect depends on what you do with us. It may include:
- Contact enquiries: your name, email address, subject, message and any information you choose to share in our conversations.
- The Leadership Quest: your name, email address, phone number and the leadership scores and results generated from your decisions. These are used to produce and email your character sheet. The Quest is a reflective exercise, not a clinical or psychological assessment.
- Email subscriptions and the five-day challenge: your email address, name if provided, subscription preferences and information about how you interact with our emails, such as opens and link clicks where recorded by our email provider.
- Events, bookings and programmes: your contact and business details, booking or ticket information, billing information, payment status, and relevant information you share to help us deliver the service. Stripe handles card details through its checkout; you do not enter them into a Leadership Treehouse form.
- Website visits: technical and usage information such as pages visited, device and browser information, referral source and approximate location. Our website and service providers may also process IP addresses for delivery, security and analytics.
3. How we collect it
We usually collect information directly from you: through forms, email, the Quest, bookings, checkout or conversations. We also receive information from the services you use to interact with us, such as booking confirmations from TidyCal, payment confirmations from Stripe and subscription information from MailerLite.
Where a colleague or organisation provides information about you for a team programme or booking, we will take reasonable steps to let you know what we have collected, why, who may receive it and how to access or correct it, unless an exception under the Privacy Act applies. Please do not send us unnecessary personal information about other people.
You can browse the website without completing a form. If you choose not to provide information required for a particular service, we may not be able to provide that service. For example, name, email and a valid phone number are required to reveal and email your Quest results; checkout requires the details needed to complete your purchase.
4. Why we use it
We use personal information for the purpose it was collected, or a directly related purpose permitted by law. That includes:
- Responding to enquiries and communicating with you about your bookings, tickets and programmes.
- Generating and emailing your Quest results and following up about relevant leadership support.
- Sending the newsletters, challenge emails and useful Leadership Treehouse communications you have agreed to receive.
- Processing payments, issuing invoices, managing registrations and meeting accounting and legal obligations.
- Understanding website and email use, improving our services, and protecting the website against spam, misuse and fraud.
5. Emails and opting out
When you sign up for our newsletter, challenge or Quest communications, we use your details to send the communications described at signup. You can unsubscribe from marketing emails using the link in those emails, or ask us at play@leadershiptreehouse.com. Unsubscribing does not stop essential messages about an existing purchase, booking or service.
7. Overseas services
Some of our providers operate outside New Zealand, so personal information may be stored or processed overseas. Where a provider acts solely on our behalf to store or process information, we remain responsible for how that information is handled.
Where a transfer is an overseas disclosure covered by information privacy principle 12, we must have an appropriate legal basis, such as reasonable grounds to believe comparable privacy safeguards apply. If we instead need your express authorisation, we will explain any lack of comparable protection before asking for it. Simply using this website is not express authorisation for an unprotected overseas disclosure.
9. Keeping information safe and how long we keep it
We take reasonable steps to protect personal information against loss, unauthorised access, misuse and disclosure, and restrict access to people who need it for their work. No website or online service can guarantee absolute security.
We keep personal information only for as long as it is needed for its purpose or for a lawful reason, such as accounting, resolving a dispute or meeting a legal obligation. Different records have different retention requirements; for example, New Zealand tax records generally need to be kept for seven years. When information is no longer needed, we will delete it or remove identifying details where practicable.
If a privacy breach causes, or is likely to cause, serious harm, we will notify the New Zealand Privacy Commissioner and affected people as soon as practicable, as required by the Privacy Act, subject to any lawful exceptions.
10. Your information. Your rights.
You can ask whether we hold personal information about you, request access to it and ask us to correct it. Email play@leadershiptreehouse.com with your request. We may need to confirm your identity before releasing information. We will normally make a decision on an access or correction request within 20 working days, and will tell you if a lawful extension or refusal applies.
If we do not make a correction you request, you can ask us to attach a statement of the correction sought to the information. You can also ask us to delete information or stop using it for a particular purpose. We will consider the request, although we may need to retain some information for legal or other legitimate reasons.
If you have a concern, please contact our Privacy Officer first so we can try to resolve it. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.
11. Changes to this policy
We may update this policy when our services or privacy obligations change. The latest version will be available on this page with its updated date. Where required, we will also take reasonable steps to tell you about a new collection or use of your information.
